Moving into a Burnaby condo can seem simple at first. You choose a date, book the movers and arrange the truck.

Then the strata paperwork arrives. Your building may ask you to submit a move-in request, reserve the service elevator and follow specific moving hours. It may also charge a fee or refundable deposit.

Some property managers also need the moving company’s contact and insurance details.

Because Burnaby strata moving rules vary by building, check your building’s requirements before setting the schedule. Make sure its elevator and loading times match the movers’ arrival time. Moving into or out of a condo? Review our Burnaby strata moving rules before confirming the elevator and crew arrival time.

Quick answer: Burnaby does not have one city-wide strata move-in process or standard fee. Depending on the building, you may need written move approval, a service-elevator reservation, mover insurance documents, a non-refundable fee, a refundable moving deposit, or a combination of these. Check the building’s requirements before finalizing the movers’ arrival time.

Review scope: Burnaby strata move planning, building-access coordination, elevator timing, crew scheduling, delivery planning, and customer communication.

Note: This article provides general moving-planning guidance. Strata requirements vary by building, so check the current bylaws, rules, fees, and move-in or move-out instructions with your strata or property manager. The operational review is not a legal review.

Why Booking Movers Is Only One Part of a Burnaby Strata Move

Booking movers and having the building ready to receive the move are two separate parts of the plan.

Your possession date might be Friday, for example, while the building only permits moves during certain hours. The service elevator may need its own reservation, and management may require paperwork or payment before confirming access.

Here, move approval means authorization of the moving arrangements, such as the date, elevator window, and use of common areas.

It does not mean the strata corporation is approving the tenant. Under B.C.’s Strata Property Act, strata corporations cannot screen tenants or require tenant approval.

Whether the condo is in Metrotown, Brentwood, or Lougheed, the neighbourhood does not determine the move-in process. What matters are the individual strata’s current bylaws, rules, and moving procedures.

The Burnaby Strata Move-In Approval Process, Step by Step

Resident Tenant, Strata Manager and Moving Company.

1. Get the Building’s Moving Requirements Before Finalizing the Time

Before committing to a specific arrival time, ask the strata manager, property manager, concierge, or designated building contact for the current moving instructions.

Confirm:

  • permitted moving days and hours
  • required notice period
  • elevator availability and reservation procedure
  • required forms
  • move-in fees or deposits
  • documents required from the moving company
  • loading or access instructions
  • any building-specific conditions

Do not rely on a neighbour’s previous experience. Procedures can differ between strata corporations and may change over time.

2. Submit the Move Request

Depending on the building, residents may be asked to provide:

  • unit number and address
  • requested move date
  • requested moving window
  • resident contact information
  • moving company name and contact details
  • truck or vehicle information, where required

Some buildings use a formal moving package, while others handle requests through a property-management portal, email, or building-specific forms.

Tenants have a separate requirement to be aware of. Under B.C.’s Strata Property Act, a landlord must provide a prospective tenant with the current bylaws and rules and a Notice of Tenant’s Responsibilities, commonly known as Form K.

The landlord must then provide the strata corporation with a copy signed by the tenant within two weeks of renting the unit. Do not confuse Form K with a building’s move-in request or elevator-booking form.

3. Pay Any Required Fee or Deposit

If the building requires payment before confirming the move, find out whether it is a move-related fee, a refundable deposit, or both. Ask how much is due, when it must be paid, whether it is refundable, and what conditions apply.

4. Get the Arrangements Confirmed in Writing

Before moving day, confirm:

  • approved move date and time window
  • elevator reservation
  • loading or access instructions
  • fee or deposit status
  • any special building conditions

Do not treat a time that “should be available” as final confirmation. Written details also give you something clear to share with the moving company.

5. Give the Confirmed Details to Your Movers

Once the arrangements are confirmed, give your movers the approved arrival time, elevator window, parking or loading instructions, building contact information, and any required documentation.

The building’s access window and the movers’ arrival schedule should line up before moving day.

Operations Note: What We Need for a Burnaby Strata Move

For Burnaby condo moves, our planning starts with the move date, addresses, home type, number of rooms, packing status, and any heavy items. We also ask for the building details that can affect access, including the approved elevator time, loading area, parkade clearance, and strata instructions. Having those details before moving day helps us plan the crew, truck, and arrival time around the building’s actual access conditions.

Burnaby Strata Move-In Fees vs. Moving Deposits

A move-in fee and a refundable moving deposit are not the same thing. Before paying either, find out what the charge covers and whether any of it is refundable.

Move-In or Administrative Fees

Not every Burnaby strata corporation charges a fee or requires a deposit, and there is no standard amount that applies across the city.

Where a move-related charge is imposed as a user fee for the use of common property or common assets, B.C.’s Strata Property Regulation requires the fee to be reasonable and set out in a bylaw or a properly ratified rule.

If your building requires a fee, ask:

  • What does it cover?
  • Is any part refundable?
  • When must it be paid?
  • Where is the fee set out?
  • Is there a separate refundable moving deposit?

Owners should check the current strata documents rather than assuming another Burnaby condo’s fee applies to their building.

Tenants have an additional consideration. B.C.’s Residential Tenancy Regulation allows a landlord to charge a tenant a move-in or move-out fee that the strata corporation has charged to the landlord.

Move-in fee versus refundable deposit

Refundable Moving Deposits

A refundable moving deposit is different because the money is held subject to the building’s move conditions.

Before paying, ask:

  • What can result in some or all of the deposit being withheld?
  • Is an inspection required?
  • Who authorizes the refund?
  • How is the money returned?
  • What happens if damage is attributed to the move?

Do not assume the deposit will be returned as soon as the truck leaves. Find out what the building requires before you consider the refund process complete.

A strata moving deposit is not necessarily the same as a residential tenancy security deposit. Different rules may apply depending on who collects the money and why it is being held, so do not assume the usual tenancy security-deposit timelines automatically apply to a strata moving deposit.

How Do You Get a Burnaby Condo Moving Deposit Back?

If your building requires a refundable moving deposit, find out how the return process works before moving day.

  • Before the Move
  • Find out what the deposit covers.
  • Ask whether an inspection is required.
  • Keep proof of payment.
  • Save the approved moving instructions.
  • Photograph relevant pre-existing damage in common areas where appropriate.
  • Photos can be useful around areas the move will use, such as the elevator entrance or designated access route, if damage is already visible.

During and After the Move

Follow the approved moving window and the building’s instructions for elevators and common areas.

If a post-move inspection is required, complete it promptly. Ask who authorizes the refund and whether you need to submit anything after the inspection.

Keep records of:

  • the deposit payment
  • written move approval
  • inspection information
  • relevant communication
  • any damage reports

Keep those records until management returns the deposit or explains any deduction in writing.

What If the Strata Says There Was Damage?

If management says damage occurred during the move, ask what damage management attributes to the move.

Useful records may include:

  • before-and-after photos
  • inspection records
  • written correspondence
  • any building damage report
  • proof of deposit payment

A clear record makes it easier to compare the claimed damage with the condition documented before and after the move.

Why Your Service Elevator Reservation Matters for Burnaby Strata Approval

In a building with controlled move-in procedures, a service-elevator reservation may be part of the approved moving arrangement, not just a convenience.

Before moving day, confirm:

  • the elevator is actually reserved
  • the reserved window matches the movers’ arrival time
  • you know what happens if the crew arrives late or the move runs beyond the booked window

An elevator that appears available is not necessarily one you have permission to use for a move.

If your preferred window is unavailable, resolve the scheduling conflict before finalizing the movers’ arrival time. Do not assume the building will be able to accommodate the truck once it arrives.

This checklist covers the building approval process. For packing, parking and the remaining relocation tasks, use our Burnaby moving checklist.

Moving Out of a Burnaby Strata? Recheck the Building Requirements

Move-out procedures may differ from the requirements you followed when moving in.

Before setting the crew’s arrival time, check the permitted moving window, service-elevator or loading reservation, any move-out fee or deposit conditions, and whether management requires an inspection afterward.

If money is being held against possible move-related damage, keep the payment, inspection, and approval records until the building completes its process.

Do not assume the rules you received when you moved in are still current.

Where Burnaby Strata Move Approval Plans Commonly Go Wrong

Problems often arise when one confirmed part of the move is mistaken for confirmation of everything else.

What Someone May Assume What They Actually Need to Confirm
“I get possession Friday, so I can move Friday.” Whether the building permits the move during the required time
“The elevator looks free.” Whether the service elevator is actually reserved for the move
“I paid the deposit, so the move is approved.” Whether the required forms, payment, and moving arrangements have all been confirmed
“Being a little late won’t matter.” Whether the approved elevator or access window can accommodate a delay

Treat each part of the building arrangement as a separate check rather than assuming one approval covers everything.

How We Plan Around Burnaby Strata Requirements

Once your building has provided the move window, elevator or loading instructions, and any mover-document requirements, share those details with our team. Our Burnaby movers can use them to plan the crew, truck and arrival time around the access conditions for your building.
